We collect information necessary to provide our services, including:

• Provider Information: Name, contact details, and clinical specialty.
• Clinical Data: Ambient audio recordings and transcriptions (processed solely for note generation).
• Technical Data: IP addresses, browser types, and usage patterns to improve platform performance.

3. How We Use Data

We use your data strictly to:

• Generate accurate clinical documentation and SOAP notes.
• Facilitate medical billing and coding submissions.
• Ensure compliance with healthcare regulations, payer rules, and provincial plan requirements.
• Maintain and improve our AI models (only using de-identified data).

4. Data Security

We implement industry-leading security measures, including AES-256 encryption for data at rest and TLS 1.3 for data in transit. Our infrastructure is covered by a SOC 2 Type II report and hosted on HIPAA-eligible cloud environments. Data belonging to Canadian clients is held in-country in AWS Canada Central, with no cross-border transfer.

5. Your Rights

Your rights, and your patients' rights, depend on where you practise. In the United States, they arise under HIPAA and applicable state privacy laws. In Canada, they arise under the federal PIPEDA together with the provincial health privacy legislation that governs your practice — including Ontario's PHIPA, Alberta's HIA, British Columbia's PIPA, and Quebec's Law 25. Under either framework you may request access to, correction of, or deletion of personal information stored on our platform at any time.
